Add a contact separately or import in a group?

We recommend you to always try to import your contacts in group, it minimizes the risk of potential errors and it is more efficient than adding one contact at a time. Sometimes, one can not avoid to add contacts one by one, eg. when you only have one new contact to add to your contact list. Below we present two different approaches that you may use to import your contacts in the tool.

Add Contact

By clicking “Add Contact”, the tool gives you the opportunity to add one contact (an e-mail address at a time) simply by adding the e-mail address of your customer. Go to “Contacts” and choose the option “Add Contact” to add your contact. Fill in the details such as e-mail address, which is mandatory, first name, last name, attributes (if needed) and subscriptions. Make sure that the e-mail address is correctly stated and contains both point and the “at sign”. Fields such as “First Name” and “Last Name” is optional to fill in but we strongly recommend that you do it.

Manage attributes ###
If you have added attributes, they will appear as a option to fill in in terms of an open field. You also have the opportunity to add a new attribute. Attributes allows you to create a personal touch in your newsletter, for example, “Hey Stockholm!” if you decided to add an attribute called “City”.

Current subscriptions

In the field “Current subscriptions”, select at least one list to which your new contact will subscribe to. We strongly recommend that you group your contacts into different lists instead of adding them to the same list.
 
When you are done, click “Save and Return” to get a full overview of all your contacts.

Import Contacts

For those who have big lists of contacts, we recommend the options to import all contacts simultaneously. You import your list of contacts by choosing the option “Import Contacts” once you are in the “Contacts” field. You will be able to choose between two types of ways to import your contacts in the tool:

1) Cut and paste from a text file
2) Import contacts from file

1. Copy and paste from a text file

You have the opportunity to copy/paste your contacts directly from an Excel-file to the tool. Be sure to have the first name, last name and e-mail address in separate columns before you copy/paste your contacts in order to reduce errors. An easy way to do this is simply by copying your information directly from the Excel-file, it that way the contacts are correctly stated and will also be correctly imported directly in to the tool.

Note that the e-mail address is mandatory information that you will have to import. Otherwise you will have no contacts to send newsletters to.

During the import you will be asked if you want to update the existing information for your current contacts. This is a wise choice to check if it is not you first set of import. By choosing to update already existing contacts the tool will update the contacts that are already imported in the tool with new information from the imported file. Fields that are not included in the import will be left untouched.

2. Import contacts from file

A practical way to import a large group of contact is by using our file manager tool, the tool will give you the opportunity to import your contacts by browsing in your computer and choosing the right file to import in to the tool. By clicking on the button “Choose File” you will be able to choose between an Excel-file (.xls and .xlsx), a CSV-file or a text-file from your PC or MAC, note that the file size can not exceed 5 MB. You will also be able to choose which lists you want your contacts to subscribe to. Duplicates will be erased.

Once again, during the import you will be asked if you want to update the existing information for your current contacts. This is a wise choice to check if it is not you first set of import. By choosing to update already existing contacts the tool will update the contacts that are already imported in the tool with new information from the imported file. Fields that are not included in the import will be left untouched.

Connect fields

Whichever method you choose to import your contacts, you will in the last step have to connects the fields between you document and the tool. This means that you must indicate to the tool what the imported information is by matching what is an e-mail adress, a first name, a last name and any given attributes. Matching an a-mail address in mandatory. The information that you do not connect any value to will be left blank and therefore will not be added to your contact field.

Click “Start the import” to import your contacts and all your contact information. When the import is complete, you receive a message from our system found in you “Messages”. You will also receive a summary of new contacts, new updated contacts field, new subscriptions and errors during the import.
